How to Add Music to a PowerPoint Presentation | Microsoft PowerPoint allows you to add different types of multimedia content. Music is one type of content that you can add to your PowerPoint presentation to make it more interesting. Before you start adding music to your PowerPoint presentation, remember that not all types of music and not even all sound effects are suitable for your presentation.

As a general rule of thumb for creating engaging PowerPoint presentations, always adapt your presentation to the content and not the other way around.

Here’s how to add music to your PowerPoint presentation and then customize the music file with playback controls from PowerPoint’s ribbon menu.

Here are some things that you should know before uploading music files to your Powerpoint files:

  • You can add one or more audio files to your slides.
  • You can download songs or music files from the internet and insert them into your slides.

  • You can record your own voice and add it as a narration to your presentation.

  • You should use an external audio editor to string together several music files when you want to cover a long presentation.

  • PowerPoint supports WAV, WMA, MP3, and several other file formats.

In this article, I’m not talking about adding audio narration to PowerPoint. But what I’m discussing is how to add music to your PowerPoint presentation with a sound file of your choice.

Adding music to PowerPoint presentation slides is just like uploading any other type of file. Here are the steps that you can follow:

1. Go to tab Ribbon > Insert. In the Media group, select
Audio > Audio on My PC.

2. Browse to the location of the audio file on your desktop PC and upload it.
Icon represents the sound file on the slide. You can drag and position it anywhere.

3. Tab Audio Tools Playback appears on the Ribbon after the file is uploaded on the slide. You can also select the audio file icon in the Normal slideshow and display the Audio Tools Playback Tab.

4. Click button Preview to test playback.

By default, Audio Style is automatically set to No Style. You can select Play in Background. Play in Background has the audio file play automatically during a slide show as well as play across multiple slides.

There are three ways to play audio files:

  1. Automatically: Music plays automatically when the slide appears.
  2. When Clicked On: Music only plays when you click on the audio icon. For this to work, uncheck the Hide During Show option to show the icon in the presentation view.
  3. In Click Sequence: Music plays when triggered with other effects that you have configured on the slide (such as animation effects).

Other options like Volume, Play Across Slides, Loop until Stopped, and Rewind After Playing are set by default but can be customized.

The Editing group on the Playback tab gives you several ways to change how your music file will sound. You can add Fade effect with Fade In and Fade Out timers to play sound clips incrementally in your presentation.

Audio trim is another editing tool which can trim unwanted parts of sound clips and save the parts you want to play. Click the button to open audio trim box.

Click button Play. When the playhead reaches the point you want to cut, click the button Pause. Make minor adjustments with the . button
next frame and previous frames if needed. You can of course slide the playhead to the desired position as well.

Drag the green marker (at the beginning of the clip) to the position of the marker. To trim the end of the clip, drag the red marker on the right to the new point where you want it to end.

Instead of dragging the marker, you can also log the time from the end point and enter it in the Start and End time boxes.

When you save the presentation, the cropped information is saved in the file. You can also save a separate copy of the cut music file outside of PowerPoint as well.

You can also use bookmarks to make your music files work. Bookmarks work like any other bookmark. They are more useful when you are using video files in PowerPoint or narrated audio files.

But you can use it for some creative uses while playing music too. For example, you can use bookmarks on audio files to trigger new animations like incoming slides or transition effects.

  1. On the slide, select an audio clip and click Play. When you reach the point where you want to add a bookmark, click Pause.

  2. In the Bookmarks group, click Add Bookmark. The yellow dot in the playhead indicates the position of the selected bookmark. White dots are unselected bookmarks.

  3. You can add multiple markers. To delete a marker, select the one you want to delete and press the button Remove Bookmarks on the toolbar.
